Terms and Conditions

For organizational reasons, we have set out our terms and conditions here, which should regulate the contractual relationship between you and us and clarify it in our mutual interest and which you accept with your booking. These terms and conditions apply to our catering, accommodation and all other services.

1. conclusion of the contract
1.1 The contract is concluded as soon as the room(s), rooms, spaces and other deliveries and services are ordered and confirmed or, if a confirmation is no longer possible due to time constraints, provided.

2. arrival and departure
2.1. hotel – occupancy and return of hotel rooms
Unless otherwise agreed in writing, rooms may not be occupied before 3 p.m. on the day of arrival and must be occupied by 10 a.m. on the day of departure. The guest is requested to inform the reception of any planned departure after 10.00 a.m. by 10.00 p.m. on the day before departure at the latest; half the room rate must be paid for departures before 2.00 p.m. and the full room rate after 2.00 p.m.
2.2. Reserved rooms must be occupied by 6.00 p.m. on the day of arrival at the latest. If this has not been done, the hotel may dispose of the rooms unless a later arrival time has been expressly agreed.

3. services and prices
3.1 The services that are contractually agreed are set out in the description in the brochure and in the information in the reservation confirmation that refers to it. Unless otherwise stated in the brochure, the price (for room reservations) includes Accommodation and booked meals, service charges and VAT.
3.2. In the case of half board, dinner is generally provided.
3.3. It is not permitted to bring in or consume food and drink brought into the hotel.
3.4. A refund of services paid for but not used is not possible.
3.5. Event and seminar rooms are available to the organizer at the times agreed in writing. Please inform the hotel in advance if they are to be used for a longer period of time.
3.6. We make every effort to ensure that certain conference rooms and rooms are available. Should this not be possible, we reserve the right to make changes at short notice.
3.7. The installation of decoration material is only possible with our permission.
3.8. The organizer is responsible for compliance with all public law regulations in connection with the event. Newspaper advertisements and public invitations as well as sales events require the prior written consent of the hotel. We reserve the right to cancel events if this affects our interests, damages our reputation or disrupts the normal course of business. In this case, the organizer shall not be entitled to claim damages.
3.9. Liabilities of offers
3.9.1. The prices quoted are inclusive prices and include service charge and VAT.
3.9.2. if the period between conclusion of the contract and provision of the service exceeds four months, the hotel reserves the right to make price changes without prior notice.
3.9.3. if the rate of statutory value added tax changes after conclusion of the contract, the agreed price shall change accordingly.
3.9.4. all prices and agreements are quoted in euros.

4. payment
4.1. advance payments
4.1.1. advance payment of an amount equal to half of the costs may be required for the reservation.
4.2. the client is liable to the hotel for payment of any services used by the event participants – food, drinks, minibar and telephone charges.
4.3. all invoices are due immediately without any deductions. Credit cards do not apply to events that are subject to a commission claim or discounted special rates.

5. cancellation
5.1. all cancellations for events must be made in writing.
5.1.1. for special events according to written agreements.
Cancellation conditions for accommodation services:
up to 8 weeks before departure free of charge
up to 4 weeks before departure 50 %
up to 2 weeks before departure 80 %
of the agreed price.
In principle, we will endeavor to allocate unused reservations elsewhere. If this is successful, the customer will not incur any costs.
For catering bookings: Cancellations for tour groups and events – up to 14 days before the event free of charge – up to 8 days before the event full total price less 10% of the lost revenue.
Changes to the number of meals on the same day.

6 Liability
The organizer is liable for losses and damage caused by itself, its employees and event participants. The event participant is responsible for the corresponding insurance policies.
6.1. The hotel is not liable for the punctual execution of wake-up calls, the timeliness and accuracy of the transmission of messages and the timely delivery of goods of all kinds.
6.2. If you park your vehicle, this does not constitute a safekeeping contract. We are under no obligation to monitor. We are not liable for damage to the vehicle.
6.3. If we procure or order technical items or other services from third parties for the organizer, we act on behalf of and for the account of the organizer.
6.4. You are responsible for participating in leisure and sports activities. You should check leisure facilities and vehicles before using them.
6.5. The hotel endeavors to remedy any technical defects immediately. However, reductions are not possible due to such defects. We are liable for loss of or damage to items brought onto the premises in accordance with the statutory provisions.

7. general
7.1. verbal agreements only become effective if they have been confirmed in writing by the hotel.
7.2. our offers are subject to change and non-binding and only become binding upon written confirmation.
7.3. we reserve the right to terminate the contract 3 months before the start of the event.
7.4. Place of jurisdiction is Naumburg, place of fulfillment and payment is Bad Kösen.
